Privacy Policy

N2Net’s policies and procedures for handling customer information have been established and are currently in use. However, Internet processes change as Internet technology changes, and N2Net’s policies and procedures are subject to change without prior notification.

Please refer back to this section to note any changes in N2Net’s Privacy Policy. In the course of serving its customers, N2Net acquires, stores and transmits customer communications and information that customers may regard as private or sensitive. Some of this information – such as the customer’s name, address, telephone number, and credit card data – is provided to N2Net by its customers in order to establish service.

Other information – such as the customer’s account status, choice of services, and customer logs – is created and maintained by N2Net in the normal course of providing service. N2Net also uses cookies, which are small pieces of information that a web site can store in a designated file on a user’s computer for various reasons.

For example, N2Net uses cookies on the sign-up online pages which record the customer information that is required on the order form. This information is then forwarded to an internal sales tracking database within N2Net. In addition, N2Net may store customers’ electronic mail and other communications as a necessary incident to the transmission and delivery of those communications.

Data Security
N2Net will protect the confidentiality of its customers’ information, account information and personal communications to the fullest extent possible and consistent with the law and the legitimate interests of N2Net, its partners, its employees and other customers of N2Net’s services. To protect the loss, misuse, and alteration of information that is collected from customers, N2Net has appropriate physical, electronic, and managerial procedures in place.

How is customer information used?
N2Net does not share its customer information with third parties. N2NET’s sole use of customer information is to supply service to customer, support customers’ accounts, and deliver information from N2Net which is essential for maintaining or updating customers’ accounts or system information.

What Information We Collect or Process

The types of information and the purposes for which N2Net collects or processes personal information may include:

Indirect End User Phone Contact Information (Personal Identifiable Information)
N2Net acts as a data processor with regard to indirect end user personal identifiable information and our Clients act as the data controller of such data. In the course of N2Net’s processing and protection of such data, all use will be in conformity with the data controller’s instructions.

Specifically, only when enabled via system permission on N2Net Mobile Android and N2Net Mobile iOS, N2Net shows personal contacts within the respective application. When the user sends an SMS message to one of his/her phone contacts, or when the user initiates a call to one of his/her phone contacts, the phone number is sent securely through N2Net’s API. N2Net does not store this number with any other PII, and it cannot be directly or indirectly attributed to any person or persons; N2Net stores only the phone number and pertinent metadata so as to be compliant with all applicable state and federal laws, and N2Net does not share this data with any advertisers or third parties under any circumstances. A user can revoke phone contact access on his/her mobile device at any time, and his/her app experience is not hindered or interrupted.

N2Net Mobile Android and iOS also uses Gravatar, only when enabled via Settings, which is a service that provides avatar images linked to the MD5 hash of the user’s email address. This means that, only when Gravatar use is enabled, we hash each contact’s email address and send it to Gravatar to try and retrieve an avatar image. MD5 hashes cannot be directly or indirectly attributed to any person or persons, and we only send the MD5 hash to Gravatar, never the email address in plain text. As with phone contacts, a user can revoke Gravatar access at any time in Settings, and his/her app experience is not hindered or interrupted.

Business Contact Information
N2Net may collect and use personal information about individual contacts of Clients and others who access N2Net public websites, knowledge bases, forums, ticket systems, or provide personal information through other means. Such information may include but is not limited to account information, first/last name, company name, title, and responsibilities, work email address, work mailing address, telephone numbers, login information, device identifiers, as well as additional information provided by such individuals in the course of receiving Products and Services from N2Net and/or requesting information about N2Net. We will use such information for the purposes of providing Products and Services, support, conducting data analytics and product assessments and related activities, and providing information regarding N2Net Products and Services.

Customer Proprietary Network Information (CPNI)
Customer Proprietary Network Information (CPNI) may include information regarding quantity, destination, technical configuration, location, amount of use and related billing information of telecommunications, interconnected and/or non-interconnected Voice over Internet Protocol (VoIP) services. This may include but is not limited to the phone numbers that you call or send messages to (or the phone numbers that you receive these calls and messages from) through our Products and Services. The date, time and duration of the calls may also be collected. This data is used for billing and service level assurance.

N2Net provides Products and Services that are primarily for the benefit of Clients and Subscribers in that N2Net transmits, routes, switches or caches information. These Products and Services merely act as a conduit for data transmitted by third parties and Subscribers. N2Net does not determine the purposes and means of processing this personal information. Except for Subscriber data provided by the Client (the Subscribers service provider) for which N2Net is merely providing a conduit for transmission, the subscribed services are of such a nature that, in most instances, N2Net requires and collects only essential CPNI and billing information; and opting out or declining to provide the requested data may hinder the provision or delivery of subscribed services. However, for CPNI data that is collected by N2Net that is not subject to the control of others, N2Net shall obtain consent from the user for the processing of this data.

N2Net collects end-user CPNI in the course of providing Product support. This data may pertain to Clients of N2Net or Subscribers (eg: end users of N2Net’ direct Clients). This data may include IP address, telephone number, email address, call detail records, call recordings and other information sufficient to identify an individual end user.

Messaging, Voicemail, Video and Media Files
N2Net provides Products and Services that facilitate the recording and storage of audio and video by way of features such as but not limited to voicemail, call and conference recording. Users may elect to store or record personal information within these resources at their discretion.

Opt Out & Modifications
Customers may request to modify and change their information by contacting support@n2net.com. In this request to support@n2net.com, customers must identify: service purchased from N2Net, domain name (if applicable), contact information, and the date the service was purchased. Customers may not opt out of receiving information from N2Net which is essential for maintaining or updating customers’ accounts or system information. Most customers may access and modify their personal information via their online account management/customer information page. All other customers may access and modify their personal information by contacting N2Net at 1-216-619-2000. Domain name customers who have registered a domain name with N2Net and wish to change the Technical Contact from N2Net to another company, may send a request to support@n2net.com. It is important to note that customer domain name registration information may be made publicly available in the registry of domain names.

Disclosure of customer information and communications
N2Net will not otherwise disclose its customers’ personal and account information unless N2Net has reason to believe that disclosing such information is necessary to identify, make contact with, or bring legal action against someone who may be causing harm or interfering with the rights or property of N2Net, N2Net’s customers, or others, or where N2Net has a good faith belief that the law requires such disclosure. N2Net also will not, except for reasons stated below, disclose to third parties the contents of any electronic mail or other electronic communications that N2Net stores or transmits for its customers. The circumstances under which N2Net will disclose such electronic customer communications are when:

    • it is necessary in order to provide service to the customer;
    • it is necessary to protect the legitimate interests of N2Net and its customers;
    • it is required to cooperate with interception orders, warrants, or other legal process that N2Net determines in its sole discretion to be valid and enforceable; and
    • it is necessary to provide to a law enforcement agency when the contents are inadvertently obtained by N2Net and appear to pertain to the commission of a crime.

N2Net disclaims any intention to censor, edit or engage in ongoing review or surveillance of communications stored on or transmitted through its facilities by customers or others. N2Net will, however, review, delete or block access to communications that may harm N2Net, its customers or third parties. The grounds on which N2Net may take such action include, but are not limited to, actual or potential violations of N2Net’s Terms of Service and Acceptable Use Policy.
